THRIVE INITIATIVE
Privacy notice
Your experience matters. So does your privacy.
This notice explains how Thrive Initiative handles personal information when you contact us, express interest in our work, or take part in Life With Machines, our interview and case study series about AI and robotics.
Last updated: October 19, 2026
What you share with us
Our website forms ask for your name, email address and a message. We also receive information you choose to send by email or share in follow-up conversations, including scheduling details and consent choices.
If you participate in an interview, you may share experiences of technology, work and everyday life. We may take notes. We will ask for permission before making an audio or video recording and explain any proposed transcription tools.
Why we use your information
We use contact information to respond to enquiries, discuss participation, arrange conversations and communicate about your contribution. Interview contributions help us understand lived experiences of technological change and inform Thrive’s research, practical programs and guidance.
Where you agree, contributions may be used in Life With Machines case studies. Submitting a form is not permission to add you to a marketing mailing list.
Interviews and publication are separate choices
Taking part is voluntary. You can decline a question or stop an interview. Before an interview, we will explain its purpose, how it will be documented, who will have access and the proposed uses of your contribution.
Before publishing your contribution in a case study, we will ask for your consent to the material and how you will be identified. This includes any use of your name, job title, employer, photograph or identifiable quotation. You can discuss using a pseudonym or removing identifying details. Even without a name, a distinctive experience can sometimes be recognizable; we will discuss that risk with you.
We do not provide employers with your private interview notes or recordings without your permission, unless disclosure is legally required. Any proposed sharing with a partner will be explained before you agree.
Who may handle your information
Thrive personnel and service providers handle information as needed to respond to you and carry out the agreed activities. Our website and forms are hosted by Webflow. Email, scheduling and, where agreed, interview or transcription services may also process information on our behalf.
Service providers may process or store information outside Canada, where it may be subject to local laws. Before an interview, you can ask which services will be used. We will explain any proposed use of an AI transcription or analysis service before using it with your identifiable interview material.
Website information and external links
Website hosting and form services may process technical information such as your IP address, browser details and request logs to deliver the site, operate forms and prevent abuse. Cookies or similar technologies may support those functions. You can manage cookies through your browser; restricting them may affect some features.
Other websites and services linked from this site have their own privacy practices. This notice covers information handled by Thrive.
Keeping information and protecting it
We limit use of personal information to the purposes explained to you and retain it only as long as needed for those purposes, including managing consent and any applicable recordkeeping obligations. Before an interview, we will explain the planned retention of notes, recordings and transcripts.
We aim to limit access to people who need the information and use safeguards appropriate to its sensitivity. No online transmission or storage system is completely secure. Please avoid sending passwords, financial account details, sensitive health information or confidential information about other people or your workplace.
Your choices and requests
You can ask to access or correct personal information we hold about you, request deletion, or withdraw permission for future use. We may need to verify your identity. Some information may need to be retained for legal requirements or to document your consent and our response to a request.
Contact us before publication if you wish to withdraw a contribution. After publication, we can discuss removing material from channels we control, but cannot guarantee removal of copies, downloads or third-party sharing. Information already combined into non-identifiable findings may no longer be traceable to you.
